Board Descriptions

BOARD MEMBER

BOARD MEMBERS ARE VOLUNTEERS WHO HELP RUN AND ORGANIZE EACH PNHLL SEASON.

Board Members are asked to attend monthly meetings that usually take place 1-2hrs. We meet in person (or on video calls when MN Guidelines permit - during the pandemic)

League President

Advocate for the LL experience. The President presides at league meetings, and assumes full responsibility for the operation of the local league. Leadership and Organization are key. The president receives all mail, supplies, and other communications from the Little League International. The president must see to it that the proper league personnel is briefed on all phases of rules, regulations, and policies of Little League. The league president is the contact between the local organization and Little League International. The league president should be the most informed officer of the league.  President needs to be willing to devote the time, energy, and dedication to ensure that all players and volunteers have a fun, memorable Little League experience.

As the chief administrator, the President selects and appoints managers, coaches, umpires, and committees members. However, all appointments are subject to final approval by the local league's Board of Directors. League Presidents should work hand-in-hand with fellow volunteers to ensure the best decisions are being made for the entire league.

Examples of jobs the President does:

Makes sure all LL required waivers, registration, and other paper work is officially filed.

Facilitates meetings

Communicates with all other Board Roles at various times. Works closely with the scheduler, Coordinators, and other pertinent Roles during registration, evals, draft process, etc. Is present at all events where players are discussed and teams are formed (such as drafts and All Star selections). 

Oversees all events, clinics, and Tournaments 

Works with City Officials on facility use. Is the sole communicator with the Cities of New Hope and Plymouth.

Is a sound voice when conflicts arise within the league.

Advocate for all players and the LL Baseball experience

Vice President

The Vice President is the second in command and presides in the absence of the president. Works closely with other officers and committee members. Agrees to strongly uphold PNHLL bylaws and LL Rules. A leading voice on the Board of Directors and works hard to enhance the program. Advocate on how PNHLL should be conducted. Works closely with the President and Coordinators during the season and helps plan off-season events. Assist with conflict resolution and helps enforce the Code of Conduct. 

Busy times of year:

Assists with the Coaching selection process(FEB). 

Coordinator of Winter Clinic(JAN).

Assist with Evals(MARCH).

Assist with division breakdowns(MARCH).

Manager of the All Star process, teams, and selections. (End of JUNE)

Secretary

The League Secretary is the Board of Directors member who is in charge of records, correspondence, minutes of meetings, and related affairs of the organization.

The Secretary should maintain a roll of membership for the league. This roll will include members of all classes, as defined by your league's constitution. Maintaining the membership will help throughout the year and especially during the annual meeting. This roll will help establish what is necessary to obtain a quorum during membership meetings. The Secretary will also maintain any files, mailing list, or necessary records for the local league.
 

Minutes of meeting are important in maintaining an accurate history of your league. Accurate minutes will help in seeing when league by-laws or the constitution have been changed. The documentation of general membership meeting and board meetings will help in showing transparency by the local league’s Board of Directors.

Organize opening day team photos.
 

Busy at monthly Board Meetings and highly involved in the OCT Board Meeting revising the fiscal year. 

PLAYER AGENT (usually paired with Safety Officer)

Assists the president in checking birth records and eligibility of players and generally supervises coach and player conduct. Advocates on behalf of the players. The player agent must not manage, coach or umpire in the division over which he/she has authority, unless the local league has received explicit written permission to allow this from Little League International. 

The Player Agent should record each team’s roster and keep them on file and submit them to Little League. (Player registration data or rosters are both accepted by Little League International.)

Once teams are selected and set, the Player Agent must oversee all teams to ensure those selected to the team are the only ones participating in team activities and ensure players are routinely attending such activities.

During the season, should there be the need for replacements, the Player Agent, along with the team manager, must follow the established process for such replacement. The Player Agent must also provide proper notice to the individual being replaced.  Manages the "pool of substitutes."

It is the responsibility of the Player Agent to ensure no manager is mishandling his roster and that all players are being treated equal.

Busy times:

Assists in submitting the Data Center Report via registration information (APRIL)

Helps with ALL STAR Tournament Affidavits (End of JUNE)

Safety Officer (usually paired with Player Agent)

The safety officer coordinates all safety activities including supervision of ASAP (A Safety Awareness Program), ensures safety in player training, ensures safe playing conditions, coordinates reporting and prevention of injuries, solicits suggestions for making conditions safer, and reports suggestions to Little League International through the ASAP system. 

Busy times

Runs a coaches training prior to the start of the season (APRIL)

Submits the ASAP plan (APRIL)

Makes sure that Medical Release Forms are Submitted (APRIL)

**as needed periodically throughout the season - facilitates a team meeting if a incident is reported**

Treasurer

Responsible for PNHLL finances, reporting of finances, and handling of finances. Ensures all registrations are paid and accurately obtained.

Manages and records payments for Concessions inventory, Registrations, Tournament Fees, Umpire Fees, Uniforms and more.

Busy During Regular season with various payments. Most is admin work that can be done off-site with the exception of concessions change and management done weekly or bi-weekly. 

Uses a program to track and record all league finances and reports such finances to the Board of Directors at meetings.

Transparency and accuracy are needed at all times. 

 

 

Registrar

The Registrar is responsible for opening Registration periods for Fall Ball, Winter Clinic, and Regular Season. 

Must be knowledgeable about the program and available to answer inquiries from the local community. Responsible for communication, managing the registration numbers, verifying player eligibility within the PNH boundaries, and verifying player ages.

Communicates widely to community when registration is open, during the registration process, and when registration is about to close.

Verifies and confirms payments are being made, waivers are fulfilled, and scholarship needs. Provides refunds when necessary and communicates refunds to treasurer.

Provides necessary information to President, Vice President, and Coordinators with information obtained during the registration process throughout the season and during the team rostering period.

Tournament Director

Invite other leagues to Rookie Weekend and manage registrations, schedule, communication, and execution of the 2-day Jamboree. 

Invite other leagues to Memorial Cup. Manage registrations, schedule the 20(ish) team 3-division pool play schedule and bracket play.  Responsible for all communication and execution of the Memorial Cup. Structures the tournament rules and the days/dates when games will be played. There is an outlined process to help with this, but this role is the sole responsible party for adapting it to the number of teams and dates and fields we have available.

Be on-site to help enforce the structure of Memorial Cup (2-week tournament in July) other board members are asked to assist, but the Tournament Director will be the lead role on-site making decisions about weather and ruling challenges (very few come up). Update the tournament standings each night. 

 

Scheduler

Responsible for the schedule and parity of games played for the league.

Works closely with outside organizations to provide new playing opportunities for all levels.

Works with city officials on the scheduling and usage of field and lights, as well as, coordinates schedules with umpires and other district officials.

Works closely with President and Division Coordinators on scheduling games, rain outs, and rain make up dates throughout the entire season.

Makes sure LL expectations and PNHLL game and practice standards are fulfilled and upheld. 

Provides consistent and fair playing opportunity for all teams with the best balance of events and days off.

Communicates the schedule and all changes of the schedule with the necessary Division Coordinators, President, Volunteer Coordinator and Concessions Manager.

Must be organized, on-task, great communication, and detail oriented. Must be able to actively use Google Docs or another form of spreadsheets

Coordinators aka Player Agents per divisions (Rookie, Minors, Majors)

Player management begins in the preseason when players register, tryout, and are selected to teams. This is the busiest time for the Player Agent/ Division Coordinator.

For tryouts, the Coordinators will ensure notification of the date, time, and location is communicated to all player candidates and prepares the tryout list that the league will use to evaluate players.

Major division teams and above must follow Little League-approved team selection methods (drafts), which is the responsibility of the Coordinator. 

Represents coaches/managers in league. Interview and select coaches in your respective division. Works with President, Vice President, and Scheduler closely. 

Assist with Evals and division breakdowns.

Facilitator of the draft on your division.

Responsible for the scheduling and managing of Play Offs in your division.

Advocate for the board and is solely responsible for passing along communication to coaches in your division. Communicates with coaches on behalf of the President, Scheduler, and/or any other board members.

Educate Coaches on PNHLL practices and expectations.

 In charge communication with coaches (passing of messages from the President and/or board on to coaches).

Help uphold PNHLL standards in your respective division, implement the rules that you create for your division, assist with Major Board decisions in regards to the community and coaches alike. 

A sound voice on the Board on behalf of the league and coaches. 

The Coordinator must also ensure which players are eligible for selection to a tournament team. The Coordinator may also be responsible for selection of such teams.

Concessions Inventory Manager

Buy and stock concessions. Manage and organize inventory throughout season. 

Open the concessions building at the beginning of the year and close the building at the end of the season.

Responsible for restocking of inventory (including before big weekends like rookie weekend and memorial cup), and ordering products.

Weekly or bi-weekly visits to Restaurant Depot and/or Costco.

In charge of menu selections for concessions.

In charge of outside orders such as Pizza or any other outside food source. 

 

Concessions Manager

Maintains the operation of concession facilities

Responsible for the management of the concession sales at league events

Collects and reviews concession related offers including coupons, discounts and bulk-purchasing opportunities

Organizes, tallies and keeps records of concession sales and purchases

Works closely with Volunteer Coordinator on staffing a functional and productive concessions crew.

Fills in when needed.

Manages Openers and Closers of the concessions stand during regular season and Tournaments.

Responsible for the Licensing of the Facility 

Volunteer Coordinator/ DIBS

Volunteer Coordinator is responsible for the management of DIBs volunteer shifts. Posting shifts, managing shifts, fulfilling shifts, and recording shifts. You will also be collecting DIBs checks and verifying that checks are obtained from all PNH registered families before uniforms are distributed. 

You will work closely with our PNH families on communication during the regular season when shifts are available, helping inform people on the shift requirements, and  communicating new opportunities for fulfilling their allotted hours.

Helping organize the structure of the league's needs, the efficient use of volunteer hours, and the hiring of outside sources(teens usually) to cover the unfulfilled roles if necessary.

You will work closely with the scheduler, concessions manager, and the field maintenance manager in assisting them with their needs in order to fulfill their duties. This is usually communicated at Board Meetings.

You may also work with local teenagers and families on providing communication on available work opportunities.

Organization and Communication are great assets for this role. Busy during the regular season. Not Busy in off-season.

Information Officer (website and communications)

The information officer manages the league's official home page and website needs. Manages the online registration process and ensures that league rosters are maintained on the site, assigns administrative rights to league volunteers and teams, ensures that league news and scores are updated on a regular basis. Collects, posts and distributes important information on League activities. Keeps schedule and tournament projections up to date on the website and informs PNHLL families on communication of those dates. 

Sends communication to the league on added events, schedule updates, weather, and upcoming deadlines.

Creates a more enjoyable and efficient Little League experience using social media and other online accessibility.

Equipment Manager

Responsible for the ordering of all uniforms and maintaining the PNHLL branding consistently throughout uniforms and all other equipment needs.

Provides equipment such as uniforms, catchers gear, batting helmets, and practice/ game balls  to coaches and teams throughout regular season.

Stocks concessions with necessary first aid essentials

Make sure equipment needs are met during Winter Clinic, Evals, and Regular season.

Stores and maintains equipment during the off-season in the storage facility and manages all equipment inventory. 

Facilitates Equipment Pick Up dates and drop-off period.

 Makes sure PNH has cool socks in the future. 

Marketing and Recruitment Manager

Solicits and secures local sponsorships to support league operations. Assists in promoting and obtaining registrations. Displays enthusiasm for the league and recruitment of new members. 

Communicates with schools and other local brands about registration being opened and encouraging patrons to join the league.

Distributes signs, marketing materials and other assets of promotion during the registration periods.

Collects and reviews sponsorship and fundraising opportunities

Organizes and implements approved league fundraising or sponsorship activities 

 

Sponsorship Coordinator

Works directly with local brands to sponsor and support PNHLL. Maintains good relationships with local business in efforts to build community, friendship, and mutual support between the league and local businesses.

Supplies sponsors with multiple options for ways they can be part of the LL experience. 

Makes sure sponsorship branding is tasteful and family friendly.

Provides sponsors with a photo memory as a thank you for being part of our league and investing in our children. 

Ensures that sponsors have mutual support from our league patrons and access to communication from the Board of Directors.

Consistently work with our sponsors to help maintain projects that help the league grow and stay current for the better of the community.

Work with the proper coordinator to make sure that sponsorships align with team names, families, and/or age groups.

Field Maintenance

Responsible for the field and playing conditions to all teams, while helping provide a safe and reliable environment for all. Manages the fields, helps prep the fields, and helps educate PNH members on how to properly maintain fields for the season. 

Helps manage field crew, train field crew, and fill in on unfulfilled shifts. During rain delays takes the proper care to ensure the fields are protected and that it is properly maintained in less than desirable playing conditions. 

Makes sure batter's box, mound, and base paths are playable and safe.

Manages the "mouse house" tool shed where all equipment is held and stored. 

Beginning of season helps manage the batting cages and sun shades on fields to help provide extra levels of safety for players and fans. During Memorial Cup help maintain fields during high usage times including filling and prepping pitching mounds.

Works with the city on field conditions and light usage during all regular and post-season.

 

Umpire-In-Chief

Serves as coordinator of and advises the league President on the league umpire program; responsible for recommending umpires to the league President for appointment to the league umpire roster; recruiting and retaining volunteer umpires; establishing a league umpire training program consistent with Little League® guidelines; coordinating and assisting with conducting umpire clinics at league and district level; communicating rule changes to league umpires; scheduling league umpires for regular season games; evaluating league umpires using established guidelines to maintain program integrity; further continual improvement, and prepare league umpires for advancement to tournament levels; communicating with and providing updates to the District Umpire Consultant on the league umpire program, and attending Umpire Training programs at the District, State, Region, and/or Headquarters level.
